1. Anti-Money Laundering Policy

TaxStats Ltd is subject to the Money Laundering, Terrorist Financing and Transfer of Funds (Information on the Payer) Regulations 2017 as amended. We are committed to preventing our services from being used for money laundering or terrorist financing purposes.

Client Due Diligence

We conduct Customer Due Diligence (CDD) on all clients before establishing a business relationship. This includes verifying the identity of the client using reliable and independent sources, identifying and verifying the identity of any beneficial owner, and obtaining information on the purpose and intended nature of the business relationship. Enhanced Due Diligence (EDD) is applied where the client is a Politically Exposed Person (PEP), where there is a higher risk of money laundering, or where the client is from a high-risk third country.

Suspicious Activity Reporting

All staff are trained to recognise indicators of money laundering and terrorist financing. Where a member of staff suspects that a transaction or activity may involve money laundering, they must report it to our Money Laundering Reporting Officer (MLRO) immediately. The MLRO will assess the report and, if appropriate, make a Suspicious Activity Report (SAR) to the National Crime Agency (NCA). We do not tip off clients about SARs or NCA investigations.

Record Keeping

We retain all CDD records and transaction records for a minimum of five years from the end of the business relationship or the completion of the transaction, whichever is later.

2. Complaints Procedure

TaxStats is committed to providing a high standard of service. If you are not satisfied with any aspect of our service, we want to hear about it so that we can put things right.

Our Process

We will acknowledge your complaint within 2 working days. A senior member of staff who was not involved in the matter will investigate the complaint. We aim to provide a full response within 20 working days. If we need more time, we will let you know and explain why. If you are not satisfied with our response, you may refer the complaint to our professional body or the relevant ombudsman service.

Learning from Complaints

We review all complaints to identify patterns and areas for improvement. Complaints data is reported to management quarterly and used to inform service improvements.

3. Equality and Diversity

TaxStats is committed to promoting equality of opportunity and eliminating discrimination in all its forms. We treat all clients, employees, and stakeholders with dignity and respect regardless of age, disability, gender reassignment, marriage and civil partnership, pregnancy and maternity, race, religion or belief, sex, or sexual orientation.

We ensure that our services are accessible to all clients and make reasonable adjustments where necessary. Our recruitment, training, and promotion practices are based on merit and are free from discrimination. We do not tolerate harassment, victimisation, or bullying in any form.

4. Professional Indemnity Insurance

TaxStats maintains Professional Indemnity Insurance (PII) in accordance with the requirements of our professional body. Our PII covers claims arising from professional negligence, errors, or omissions in the provision of our accounting, tax, and advisory services. The policy provides coverage of at least the minimum required by our regulatory obligations and is renewed annually.

5. Environmental Policy

TaxStats is committed to minimising the environmental impact of our operations. We operate primarily as a cloud-based business, which inherently reduces the need for physical infrastructure, paper, and business travel compared to traditional accounting practices.

Our Commitments

  • Paperless operations: We operate a paperless office and encourage clients to communicate and share documents digitally. Our platform eliminates the need for paper-based record keeping.
  • Energy efficiency: Our office spaces are selected for their energy efficiency credentials. We use energy-efficient equipment and encourage energy-saving behaviours.
  • Travel reduction: We use video conferencing for client meetings wherever possible and promote remote working for our team, reducing commuting and business travel.
  • Responsible procurement: We consider the environmental credentials of our suppliers and service providers when making purchasing decisions.
  • Waste reduction: We minimise waste through digital operations and recycle all waste that cannot be avoided.

6. Modern Slavery Statement

TaxStats Ltd is committed to preventing modern slavery and human trafficking in our business and supply chains. Although our business is low-risk due to our nature as a professional services firm, we take our responsibilities seriously.

Our Business

TaxStats provides accounting, tax, and advisory services from offices in Manchester. All our employees are UK-based, paid at least the National Living Wage, and have written contracts of employment. We verify the right to work of all employees before they commence employment.

Our Supply Chain

Our supply chain primarily consists of technology providers, professional services firms, and office services. We assess the modern slavery risk of our suppliers and require key suppliers to confirm their compliance with the Modern Slavery Act 2015.

Due Diligence

We conduct due diligence on new suppliers and review existing supplier relationships to identify and mitigate any risk of modern slavery. We encourage anyone who suspects modern slavery in our business or supply chain to report it to management immediately.
